Easily Control MFA Authentication With Group Policies

February 22, 2023 By Rublon Authors

We are incredibly excited to announce the newest extension of the Rublon Admin Console — Group Policies. This robust feature offers even more granular control over your MFA settings, allowing you to tailor policies for specific user groups. With User Groups, you can assign Custom Policies to specific user groups in the context of a particular application.

Didn’t You Already Have Policies?

Rublon has offered administrators an array of customization options called Custom Policies. Administrators could create Custom Policies in the Rublon Admin Console and assign them per application. You can still create Custom Policies and assign them to applications just like before. (We will call them Application Policies from now on.)

But these Application Policies have their limits. For one, they apply to any user who accesses the application, regardless of their group. Also, you can assign only one Application Policy to one application.

Introducing Group Policies

Group Policies makes it easy to customize the authentication experience for each user group while also ensuring that all user groups authenticate according to the organization’s security policies. This is especially useful for organizations that need to implement more stringent authentication settings for specific user groups — such as employees with higher-level security privileges, IT admins, or high-risk accounts.

For instance, if you have a group of IT admins that require a different level of authentication than your regular employees, you can create a user group for them and customize the authentication methods for that group. Those authentication methods will automatically apply when the IT admins access the application.

By using Group Policies, you can ensure that each user group is getting an optimized authentication experience tailored to their specific requirements. This helps to streamline the authentication process and makes it as simple and convenient as possible for each user group.

Getting Started with Group Policies

If you’re ready to get started with Group Policies, here’s what you need to do.

1. Sign in to the Rublon Admin Console.

2. Create a new user group if you do not have any in the Groups tab. (See: How to add group)

3. Add the desired users in your organization to the newly-created group. (See: How to add users to group)

4. Create a new custom policy with authentication options you want the newly-created group to have. (See: How to create new policy)

5. Assign the new policy to the group in one or more applications. (See: How to assign Group Policies to groups within application)

Need More Info?

We’ve prepared a separate document discussing User Groups in detail. It also contains multiple examples of common use cases. Well worth a look if you wish to get a good grasp of User Groups fast and effortlessly: User Groups.

You can also check the Groups section of the Rublon Admin Console documentation for more information on groups: Groups – Rublon Admin Console.
