Here’s a list of frequently asked questions regarding the Rublon Entra ID Synchronization.
Frequently Asked Questions (FAQ) about Entra ID Sync
Where can I see the list of all Entra ID Sync Configurations?
Sign in to the Rublon Admin Console and go to Users → Directory Sync.
Can I create multiple Entra ID Sync Configurations for the same Connection?
While you can create multiple Entra ID Sync Configurations for the same Entra ID Sync Connection, we do not recommend this approach. Doing so is more prone to mistakes versus a single configuration for a single connection approach. For example, if you create separate configurations for separate user groups, you risk overwriting data for those users who belong to more than one group.
Can I synchronize multiple Entra ID Sync Connections using the same Configuration?
Yes, this is possible. Edit the Entra ID Sync Configuration of your choice, select the Connection, and click Synchronize Now. Repeat for all Connections.
Is any information from Rublon imported into Entra ID?
No. Entra ID Sync imports users and groups from Entra ID into the Rublon Admin Console. No information from the Admin Console is imported into Entra ID.
How often does Entra ID Sync run?
Entra ID Sync performs automatic syncs twice a day around 6:00 AM UTC and 6:00 PM UTC.
To enable Rublon Entra ID automatics syncs, check Automatic Syncs in the Details section of your Entra ID Sync Configuration.
You can run a manual synchronization at any time.
Can I import admins from Entra ID into the Administrators tab of the Rublon Admin Console?
Synchronizing Entra ID administrators is not supported at this time.
Can I sync multiple directories into the Rublon Admin Console?
Yes, you can synchronize users and groups from multiple directories into the Rublon Admin Console. These directories can be of the same (e.g., two Entra ID configurations) or different types (e.g., Entra ID and Active Directory).
Can I make changes to the users and groups synchronized from Entra ID into the Admin Console?
While you can make changes to users and groups synced from Entra ID, any changes you make to Entra ID-synced users and groups will be lost during the next synchronization.
Does deleting a user in Entra ID also delete that user from the Rublon Admin Console during the next synchronization?
Yes. If you delete a user from your Entra ID Directory, then this user will also be deleted from the Rublon Admin Console during the next synchronization.
Does deleting an Entra ID Sync Configuration also delete the users and groups synced using that configuration?
No, deleting an Entra ID Sync Configuration does not remove any users or groups. After the deletion, users and groups will still be visible in the Admin Console, marked with the DS badge.
Can I delete an Entra ID Sync Connection?
There is no way to manually delete an Entra ID Sync Connection. Connections that are no longer used are automatically deleted during each saving or deleting of an Entra ID Sync Configuration.
Why are users’ phone numbers not imported into the Rublon Admin Console with a “The phone number format is invalid” warning?
The phone number in Entra ID must be in the following format: +<prefix>XXXXXXXXX, e.g., +15550100. Otherwise, Rublon Directory Sync will not synchronize it and will print a warning (“The phone number format is invalid”) about this fact after synchronization. This means that phone numbers like 546-261-5477 or +1 555-0123 will not be imported.
How are Entra ID account states mapped into Rublon Admin Console user statuses?
The following is a table that maps the statuses based on whether the account is enabled or disabled in Entra ID and what the previous account’s status was in the Rublon Admin Console:
Entra ID Account State | Existing Rublon Admin Console Status | Resulting Rublon Admin Console Status | Comments |
Enabled (true) | The user account doesn’t exist in the Rublon Admin Console. | Active | – |
Enabled (true) | Active | Active | No change. |
Enabled (true) | Bypass | Bypass | No change; if the user is set to Bypass in the Rublon Admin Console, the status remains unchanged after synchronization. |
Enabled (true) | Denied | Active | Changed to Active; Entra ID is considered the source of truth. To set a Denied status, the account must be disabled in Entra ID. |
Enabled (true) | Locked Out | Locked Out | No change (same behavior as Bypass). |
Enabled (true) | Pending | Active | The user status in the Rublon Admin Console is changed to Active. |
Disabled (false) | The user account doesn’t exist in the Rublon Admin Console. | Denied | – |
Disabled (false) | Active | Denied | The user status in the Rublon Admin Console is changed to Denied. |
Disabled (false) | Bypass | Denied | The user status in the Rublon Admin Console is changed to Denied. |
Disabled (false) | Denied | Denied | No change. |
Disabled (false) | Locked Out | Denied | The user status in the Rublon Admin Console is changed to Denied. |
