Effective Management of User Phones For Applications That Do Not Support Rublon Prompt

Managing end-user phones in an organization that uses applications without Rublon Prompt support can be challenging. Here’s the correct approach to ensure smooth operations and avoid issues.

Faulty Enrollment Scenario

  1. An administrator sends an Enrollment Email to user Bob, who adds their phone number.
  2. Bob logs in to an application that does not support the Rublon Prompt using the SMS Passcode method.
  3. After some time, Bob wants to log in using Mobile Push. The administrator sends another Enrollment Email, and Bob enrolls the Rublon Authenticator mobile app as a separate phone. This results in the SMS Passcode and SMS Link methods becoming unavailable.

Correct Enrollment Procedure

To effectively manage user phones without disrupting existing authentication methods, follow these guidelines:

How to Add a Phone Number to a Device Already Enrolled with Rublon Authenticator?

Do not send another Enrollment Email. Instead, simply add the phone number directly in the Rublon Admin Console:

  1. Sign in to the Rublon Admin Console.
  2. Select the Users tab.
  3. Click the name of a user you would like to add a phone number for.
  4. In Phones, select the phone to add the phone number to.
  5. In Phone Number, enter the user’s phone number.
  6. Click Save to save the changes.

How to Add Rublon Authenticator to a Device with an Existing Phone Number?

Send a Mobile Activation Email rather than another Enrollment Email. This allows the user to enroll the Rublon Authenticator mobile app without affecting the existing SMS Passcode and SMS Link methods.
