Send Mobile Device Enrollment Emails With Just One Click

November 16, 2021 By Rublon Authors

Last updated on April 23, 2024

Last month’s new feature made it possible to send Mobile Activation Emails to users. Mobile Activation Emails are still available and can be sent to any user whose phone has been previously added in the Rublon Admin Console. But this month, we’ve prepared something special — a feature that further improves the enrollment process and gives users the power to enroll their mobile devices without even having to access the Manage Devices view.

Introducing Enrollment Emails. An administrator can now open the users’ profile in the Rublon Admin Console and send an enrollment email with just one click.

The user can then open the enrollment email and go through the whole enrollment process all the way up to scanning the QR code and adding their account on their Rublon Authenticator mobile app.

The ability to send Enrollment Emails via the Rublon Admin Console makes it easier to enroll mobile devices for users who log in to applications that do not support the Rublon Prompt. In addition to that, Enrollment Emails do not require administrators to add the user’s phone number themselves. Enrollment Emails are sent automatically after just one click.

So How Should I Enroll My Users?

With yet another enrollment option made available this month, you might start wondering what’s the best approach to user enrollment in your organization. That’s why we’ve prepared a summary of all mobile device enrollment options.

Refer to the following table to better understand possible mobile device enrollment scenarios.

Enrollment ScenarioAdministrator SideUser Side
User Self-Enrollment with no help from AdministratorNo action required from the administrator.User goes through the whole enrollment process themselves.

If the service does not support Rublon Prompt, another enrollment scenario is recommended.
Enrollment using Email sent by AdministratorAdministrator one-click sends an Enrollment Email from the Rublon Admin Console.User opens the email and goes through the whole enrollment process themselves.
Activation using Email sent by AdministratorAdministrator adds the user’s phone in the Rublon Admin Console and then sends a Mobile Activation Email to the user.User only has to activate their Rublon Authenticator by scanning the QR code sent via email.

So which enrollment scenario should you choose?

Since the Enrollment Emails feature is now available, we recommend you use the Enrollment Email option to enroll your users from now on. It takes a lot of phone number adding work off your hands while ensuring easy enrollment for users who do not have to even access the Manage Devices view to enroll their mobile devices.

Step Up Your Enrollment Game

Summing up, Enrollment Emails give administrators a fast and easy way to send mobile device enrollment emails to users. Users still can but do not have to access the Manage Devices view to enroll their mobile devices. Administrators do not have to know the user’s phone number. All they need to do is click one button in the Rublon Admin Console. Then, an email is sent to the user. This email message contains a link that allows the user to go through the whole process of enrollment, including specifying the operating system of their phone and providing their phone number. At the end of this enrollment process, the user is asked to scan a QR code using their Rublon Authenticator mobile app. After they scan the QR code, their account is added on their Rublon Authenticator which allows them to use the Mobile Push authentication method.

Enrollment Emails are yet another step toward perfecting the Rublon Admin Console. If you have any suggestions or questions regarding Rublon, please contact Rublon Support. We’re here for you.
